Leads & SalesEvery enquiry is followed up until an answer comes in or the appointment is booked.
A reply the same day, a reminder after three days, a call after a week – and the moment the customer responds, the sequence stops.
The problem
On Tuesday morning an enquiry comes in through the form: warehouse lighting, two hundred square metres. Mathis sends out a quote that afternoon. Then nothing happens. Three weeks later nobody knows whether the customer is still thinking it over or signed with somebody else weeks ago.
Following up rarely fails because nobody wants to. It fails because nobody is keeping track of who received what and when. The note is on a scrap of paper, in somebody’s head, or nowhere at all, and by Friday the diary is full of site visits rather than callbacks.
What gets lost that way is not the poor enquiries. It is the good ones, the ones that only needed a second message. And that second message is the first thing to go when the day runs out.
What you get
We connect your inbox, your diary and your quoting software if you already have them. If you do not, we set up a simple list instead.
How it works
Capture
Enquiries from the form, the inbox, phone notes and trade fair contacts come together in one place, with a date and a source.
Process
Each enquiry gets a sequence to suit its type and size: day 0, day 3, day 7, day 14. The moment the customer responds, it ends.
Deliver
The answer, the reminder and the suggested slots go out from your own inbox. The call sits in the list as a task, with the note already written.
Review
You see which channel brings enquiries in, which follow-up gets the answer, and how many customers only replied to the second message.
What it costs
Included: discovery, a sequence for each type of enquiry, templates for the answer, the reminder and the closing message, connecting the inbox and the diary, testing on real enquiries, handover. The figure depends on the number of sequences.
Included: day-to-day running, licences, upkeep of the templates and sequences, analysis and support.

What you own
The customer data, the templates, the inbox and all the logins sit in your own accounts. If you stop tomorrow, the whole sequence stays with you.
We do not make you dependent on us. You are not renting a system, you are getting one.
Common questions
Does the AI write to our customers?+
You write the texts once and we set them up as templates. For a longer reply the AI suggests a draft, but nothing goes out until a person has approved it. And wherever a customer is writing to a system rather than a person, it says so.
Four messages – is that not a nuisance?+
Four messages over two weeks, in the same thread, each one with a specific slot to pick. That is not a mailshot. And as soon as the customer replies, it stops.
We have ten enquiries a month. Is it worth it?+
If those ten are already followed up properly, no. It becomes worthwhile once enquiries arrive through several channels, two people are working on the same one at the same time, or quotes regularly sit there with no answer. We tell you that in the intro call, before you pay anything.
Where is our customer data held?+
In your inbox, your diary and your own file, on accounts in your name. We are given access to do the work and we hand it back. The record of processing and the deletion deadlines are part of the setup.
Can we keep our CRM?+
As a rule, yes. What you use and what should stay are settled during the discovery.
No enquiry slips through the net any more.
An intro call, free and with no obligation. We go through your last twenty enquiries that never got an answer and tell you honestly whether the effort is worth it for you.
