Team & People

What your people know is written down where the work happens.

A question in the search box, an answer in seconds, with the source and the date it was last checked. And anyone starting out learns the job from that same material instead of piecing it together question by question.

The problem

A fitter is at a customer’s place on a Wednesday afternoon and does not know whether the travel costs go on the job or on the cost centre. He rings the office. Nobody there is sure just then, so he rings the foreman, who is on another site. Two phone calls for a question that ought to be answered once and then written down.

The knowledge does exist. It is in a folder on the server, in an email from 2023, in a file on the bookkeeper’s computer and above all in three people’s heads. Anyone who wants to ask has to know who to ask. Anyone who would rather not ask takes a guess.

New starters cost the most. The first few weeks are all questions, and every question costs two people their time. And when somebody retires or leaves, a piece of the business goes with them.

What you get

✓
Every answer names its source with the document, the section and the date it was last checked.
✓
Scattered paperwork in one place all sit behind one search box.
✓
Answers on site as well on a phone, with no call to the office and no waiting until the end of the day.
✓
An induction plan for each role tasks, meetings and a buddy, ticked off week by week.
✓
The routine jobs, written up as instructions from goods-in to handover, in the order things actually happen.
✓

✓
Anything out of date shows up every document has an owner and a review date that reminds you when it comes round.

Your existing filing stays where it is: the server, SharePoint, Drive or the binder on the shelf. We connect to it rather than moving everything.

How it works

01

Capture

Manuals, folders, data sheets, email attachments and everything that has so far only been passed on by word of mouth come together in one place.

02

Process

The paperwork is put in order and duplicate or superseded versions are weeded out. Every document is given an owner and a review date.

03

Deliver

Your people ask from a computer or a phone and get an answer with its source. Anyone starting out gets their plan, step by step.

04

Review

You see what people are searching for, which questions go unanswered and which documents nobody has checked for months.

What you own

The documents, the search and all the logins sit in your own accounts. If you stop tomorrow, the paperwork stays with you, in order, sources and review dates included.

We do not make you dependent on us. You are not renting a system, you are getting one.

Common questions

Does the AI make up answers?+

It only answers from your own documents, and for every answer it names the passage it came from. If it finds nothing, it says so, and the question goes on the list of open questions. A person can still check at any time, because the source is right there beside it.

Where is our paperwork, and who can get at it?+

On your own accounts, with the access rights you have already given out. What the accounts department sees, the workshop does not. Wages, contracts and personnel files stay out of it if that is what you want.

Our filing is chaos. Is this even possible?+

That is the rule, not the exception. Putting it in order is the real work of the setup, and after the stocktake we tell you how big a job it is in your case. Part of the work stays with you, because only you know which of the three versions is the one that counts.

There are twelve of us. Is it worth it?+

If two people in your firm answer half of all the questions, usually yes. If everyone does the same job and new starters are rare, probably not. We tell you that in the intro call, before you pay anything.

Will this not go out of date like our old manual did?+

It goes out of date the moment nobody is responsible for it. That is why every document carries a name and a review date, and why open questions pile up where everyone can see them instead of disappearing. Ten minutes of upkeep a month keeps it alive.

Nobody has to go chasing the next question any more.

An intro call, free and with no obligation. We go through ten questions that get asked every week in your firm and tell you honestly whether the effort is worth it for you.
