Customers & Service

You notice a customer leaving before they have gone.

Orders, complaints and contracts come together in one place. When a customer goes quiet, the person who looks after that customer gets a task, not a round-robin email.

The problem

A customer who has ordered every month for ten years does not order in March. Nor in April. Somebody notices on a Friday evening in June, glancing down the sales list, and by then the customer has long since found another supplier.

The other case is the noisy one: three complaints in four weeks, each handled separately, by three different people. Nobody puts them side by side. The customer puts them side by side.

What is missing is not goodwill. It is the moment when somebody says: something is off with this customer, give them a ring. One lost regular does not show up in the month-end figures. Twelve of them in a year do show up, but by then nobody can work out why.

What you get

✓
Every customer has a level drawn from orders, complaints, contracts and usage, not from last Tuesday’s hunch.
✓
Silence stands out when a customer has gone longer than usual without ordering.
✓
Complaints are added up three small ones in four weeks weigh more than one big one in a year.
✓
A high level creates a task for the person who looks after them, with the reason and the last order alongside.
✓
Contracts speak up before the deadline renewal, notice period and price review land on your desk in good time.
✓
Follow-ups run to a plan after the delivery, after the repair, after the first purchase, in your own words and with your name underneath.
✓
You ask for reviews at the right moment when the customer is happy, and not in the middle of an open complaint.
✓
You see the customer base as a whole who is growing, who is standing still and who has bought nothing for a year.

We connect your stock system, your till or your CRM, whichever you already run; if you have none of them, your invoice list is enough to start with.

How it works

01

Capture

Orders, invoices, complaints and contracts come together in one place, per customer, and each customer’s normal rhythm is stored alongside.

02

Process

Time since the last order, complaints building up and contracts coming to an end together produce a level: high, medium or low.

03

Deliver

When the level is high, the person who looks after that customer gets a task with the reason attached. Follow-ups, review requests and contract reminders go out on their own.

04

Review

You see how many customers sit at each level, which calls achieved something and where revenue quietly disappears.

What you own

The customer data, the traffic-light rules and all the logins sit in your own accounts. If you stop tomorrow, the whole history stays with you.

We do not make you dependent on us. You are not renting a system, you are getting one.

Common questions

Does the AI decide which customer is at risk?+

It does the arithmetic and makes suggestions, according to the rules you set. Whether anyone picks up the phone is your decision. A level is a pointer, not a verdict on a customer.

How do we handle data protection?+

Customer data stays in your systems and on your accounts. Marketing opt-outs, deletion periods and the record of processing activities are part of the build, not an afterthought the following year.

We have eighty customers and we know every one. Is it worth it?+

Then you will barely need the traffic light. For you the gain is more likely to be in the contracts, the follow-up after delivery and the reviews. We tell you that in the intro call, before you pay anything.

Does an automatic follow-up not come across as pushy?+

It can, which is why we cap how often a customer is written to at all, and a phone call replaces any message. You write the words, we only make sure they go out at the right moment.

We do not have a CRM. Does it still work?+

Yes. Invoices and delivery notes are enough to start with. Whether a CRM is worth it for you is something we settle at the discovery stage, not before.

You ring before the customer leaves.

An intro call, free and with no obligation. We go through your customer list for the past two years and tell you honestly whether the effort is worth it for you.
